SUMMARY:

Responsible for ensuring Loading Dock is neat and organized, while managing storage and shipping/receiving for the property.

ESSENTIAL FUNCTIONS: Essential functions as defined are ILLUSTRATIVE ONLY and not a comprehensive listing of all functions and duties performed by incumbents within this classification. Essential duties and responsibilities may include, but are not limited to, the following:

Maintains the Loading Dock. Ensures it is clean, organized, and safe. Manages the shipping and receiving of all packages in and out of the hotel.

Receives all packages (in procurement software as well) and delivers accordingly.

Help customers with Billing and Payment processes.

Work with other departments as appropriate to maintain knowledge and relationships necessary for efficient and effective operation.

Document any necessary updates to process and aid in inventory management

Assists with storage and organizational practices around the hotel

Reviews all shipping/receiving invoices and ensures they are up to date and processed accordingly

Posts transactions for shipping charges in the POS software

Works with operational departments to streamline procedures and aligns expectations

Ensures all shipping charges are proper and reconciled daily

Creates SOP documents and assists enforcement of all policies related to the loading dock and shipping procedures

Researched and implements best practices regarding guest satisfaction and technology integration

Reviews and adjusts pricing for all shipping/receiving needs for all guests

Proactively works to plan all group shipping functions, including attending pre con meetings and communicating with group contact pre-arrival.

Coordinates delivery and planning with all transient/group contacts to ensure a seamless delivery process.

Represents the hotel in a professional manner with guest interaction and carries a professional demeanor in the handling of all shipping/receiving functions.

Performs a variety of warehouse support functions such as delivery, planning, reports, forms, and specialized documents, and proofreading and checking materials for accuracy, completeness and compliance with departmental policies and regulations.

Contributes to the efficiency and effectiveness of service to its customers by offering suggestions and directing or participating as an active member of a work team.

Demonstrates courteous and cooperative behavior when interacting with public and staff; acts in a manner that promotes a harmonious and effective workplace environment.

QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge and/or skill required

Education and Experience: High School Diploma/GED; AND two (2) years of logistical and administrative support experience; OR an equivalent combination of education, training, and experience.

Required Knowledge and Skills Knowledge of:

Policies and procedures of the department.

Use of specified computer applications involving word processing, data entry and/or standard report generation.

Use of specified computer applications involving the design and management of databases or spreadsheet files and the development of special report formats.

Business arithmetic.

Professional email and letter étiquette.

Correct business English, including spelling, grammar, and punctuation.

Techniques for dealing with a variety of individuals from various socio-economic, ethnic, and cultural backgrounds, in person and over the telephone.

Confident with:

Performing technical and specialized warehouse support work.

Reading and explaining rules, policies, and procedures.

Analyzing and resolving varied office administrative problems.

Organizing, researching, and maintaining loading dock logistics.

Performing accurate calculations.

Reviewing documents for completeness and accuracy.

Reviewing, posting, balancing, and reconciling shipping records.

Maintaining accurate shipping records and preparing accurate and timely reports.

Using initiative and independent judgment within established procedural guidelines.

Organizing own work, setting priorities, and meeting critical deadlines.

Contributing effectively to the accomplishment of team or work unit goals, objectives, and activities.

Establishing and maintaining effective working relationships with those contacted in the course of the work.
